PF Claim Rejected? Service Overlap & PF Transfer Guide 2026

Check your service dates and use official EPFO services for PF transfers and claim queries.

Updated: | A guide for EPFO-covered employees

A PF claim rejected due to service overlap can be confusing after a job change. Before submitting another request, check whether the problem concerns a PF transfer, an incorrect employment date or a different claim requirement. Each needs a different response.

This guide explains the relevant EPFO instructions, how to review your records and where to request help. It is useful for salaried employees, including teachers and school staff whose employment is covered by EPFO. Check your payslip and retirement scheme first: an EPFO UAN account is different from GPF or NPS/CPS.

Important clarification: EPFO's circular dated 20 May 2025 directs offices to process PF transfer requests despite overlapping service periods. An overlap alone should not disqualify the transfer. Where clarification is genuinely needed, the source office should obtain it before processing.

The circular concerns transfers. It does not grant automatic eligibility for a withdrawal or other benefit. Read the official EPFO circular (PDF).

What Does Service Overlap Mean?

Service overlap means that the employment periods shown in your records intersect. That does not tell you, by itself, whether a date is wrong. Compare the portal entry with your actual joining and leaving documents before requesting any change.

Illustrative example: A teacher leaves School A on 31 May and joins School B on 1 June. School A's recorded exit date is 7 June. The records therefore show overlapping dates. The teacher should use the relieving and joining records to explain the discrepancy and request an accurate correction.

If the recorded dates reflect genuine employment, preserve them and explain the circumstances when asked. Do not invent a different leaving date simply to make the periods appear separate.

Start With a Simple Record Check

Keep one private folder containing your claim acknowledgement, the exact rejection message, relevant employment documents and any correspondence. Then review:

  • The previous and present PF member IDs and the employer names attached to them.
  • The joining and exit dates shown in your service history.
  • The final payroll period and contributions visible in your passbook.
  • The status of any earlier correction or transfer request.

Write down the discrepancy precisely. “Exit date shows 7 June; relieving document shows 31 May” is easier to investigate than “PF is not working.” If you find more than one UAN, ask the employer or EPFO which account and transfer route to use before proceeding.

Missing Date of Exit: How to Use Mark Exit

EPFO's published member guidance provides a facility to enter a missing exit date after two months of leaving employment. It requires an activated UAN, verified Aadhaar linkage and access to the Aadhaar-linked mobile number.

  1. Sign in to the official EPFO Member e-Sewa portal.
  2. Open Manage → Mark Exit, if available.
  3. Select the previous employment and check its PF account number.
  4. Enter the correct exit date and reason.
  5. Complete the Aadhaar OTP verification and confirmation shown on screen.

The published transfer FAQ limits the selectable date to the month of the previous employer's last contribution. If the permitted options conflict with your employment records, request clarification instead of choosing an arbitrary date.

Mark Exit and correction are different: where a date already exists but is wrong, check the correction facility described below.

Incorrect Joining or Leaving Date: Use the Correction Route

A Ministry of Labour and Employment announcement dated 19 January 2025 explains that members with Aadhaar-validated UANs can self-update specified profile details, including joining and leaving dates, without uploading documents. Certain cases involving UANs issued before 1 October 2017 still require employer certification.

Use the profile-update or Joint Declaration option available for your account. If the portal requires employer action or further verification, follow that route. Keep joining letters, relieving records and relevant salary slips ready, and submit only the evidence requested for your case.

After the request is completed, compare the updated service history with the original documents. Save the acknowledgement so you can distinguish the date-correction request from any subsequent transfer request.

Read the government's member-profile update announcement.

How to Request a PF Transfer Online

A PF transfer consolidates previous EPF accumulations into the present account. To begin through Member e-Sewa:

  1. Open Online Services → One Member – One EPF Account (Transfer Request), where shown.
  2. Check your personal details and the present PF account.
  3. Select and verify the previous employment details.
  4. Follow the current authentication and submission instructions.
  5. Retain the acknowledgement and use the claim-status facility to monitor progress.

Portal screens can change. Read the instructions displayed for your account rather than relying only on an older screenshot.

The government's 25 April 2025 announcement describes a revamped Form 13 process. Employer approval had already been removed in the majority of cases, and separate destination-office approval was removed. After source-office approval, the transfer is credited through the revised process. This does not mean every request is approved immediately after submission.

Read the official Form 13 transfer-process announcement.

What to Do If the Claim Is Still Returned or Pending

First read the actual reason. A bank-detail issue, identity mismatch and disputed service period should not receive the same reply. Address the point raised and keep the supporting evidence focused on it.

For an unresolved EPFO service issue, visit EPFiGMS, choose the appropriate member status, complete the verification and describe the problem. Include the claim reference and relevant documents. Save the grievance registration number; the portal provides status checking and reminders for pending grievances.

You can adapt this message for an official grievance:

My PF transfer request [claim reference] was returned with the reason [exact wording]. Please review the service dates for the previous and present member IDs. I have attached the relevant records and an explanation of the overlapping period. Kindly examine the request under EPFO's circular dated 20 May 2025 and advise whether further clarification is required.

Share account details only through the appropriate official channel. Keep passwords and OTPs private. The EPFO member portal lists 14470 for helpdesk assistance.

Frequently Asked Questions

Should I change a correct date just to remove an overlap?

No. Use accurate employment records. Explain a genuine overlap rather than changing the facts to fit the application.

Does transferring PF also pay money into my bank account?

No. A transfer moves EPF accumulations between PF accounts. A withdrawal is a different request with its own eligibility conditions.

Is every date correction required to go through the old employer?

No. Eligible Aadhaar-validated members have a self-update route. Other cases follow the certification or verification requirements shown for the account.

Why is an EPS pension amount not shown as a transfer credit?

EPFO explains that pension benefits depend on eligible service and the relevant salary basis. During a job change, the service history is transferred; EPS is not transferred as an ordinary individual cash balance. Ask EPFO to verify any missing service.

How long will my particular claim take?

This guide cannot determine an individual completion date. Monitor the official status and respond to any request for clarification with the relevant records.

Conclusion

Begin with the exact claim message, compare the dates with your documents and choose the appropriate correction or transfer service. Keep acknowledgements together and use the official grievance channel when the issue remains unresolved. A clear account of the discrepancy helps the employer or EPFO examine the right records.

The dated reforms are identified as 2025 instructions, not presented as a new October 2026 notification. Follow current portal instructions and obtain case-specific clarification from EPFO where necessary.
